Everest Sales Order Entry
Everest provides an exceptional sales order entry system. Orders entered on the Everest E-Commerce site become sales orders as well. The Everest sales order system offers many advanced features such as:
- A sale can be tracked through Everest starting as a Sales Opportunity and progressing through a Sales Quote, Sales Order, and Sales Invoice.
- Backorders are tracked and multiple invoices can be generated from a single sales order.
- Everything you need to know is at your fingertips. From the sales order/invoice screen, this is just some of the information you can view:
- Customer balance and aging information.
- Customer prior purchases.
- Item availability, even across multiple locations - Including drill-downs into sales and purchase transactions making up OnSO and OnPO quantities to view due dates.
- Complete history of the current transaction including when and who made changes, priced under acceptable margins, went beyond credit limits, etc.
- Margin information at both the item and transaction level allows you to view both the current markup and GPM information as well as a spreadsheet type view of selling prices at various margins so you can negotiate pricing and auto-apply selected margins.
- View special instruction notes tied to the customer.
- Visual indicators (colors - green, yellow, red) indicating stock availability of each line.
- View related items including up-sell information. All the information to say, "For only $5 more, you could purchase this item instead!"
- View add-on items allowing the untrained sales order operator to suggest appropriate items to increase your sales.
- Shipment tracking details including tracking numbers for each package.
- At the bottom of the screen a sequence of numbers can be displayed that appear random and meaningless. The customer's balance and the line item profitability is hidden in the sequence so an order entry operator can have the information they need even if a customer is looking over their shoulder.
- Line items on a sales order have many flags providing excellent flexibility such as:
- Change the sales tax calculation for a single line item.
- Discount amounts and percentages per line item.
- Sell in different units of measure.
- Setup an item to be drop-shipped directly from a vendor.
- Hide a line from the customer - This can be used to add costs to the sales order for other items or services that aren't charged to the customer, but are part of the cost of the sale. This is great for service or repair businesses.
- A job code can be set at the line item level to classify a single sales order across several jobs in job costing.
- Delivery due date can be different for each line item.
- Optionally, line items can be grouped together by relating one or more to a "critical" item. The system won't ship any of the items in the group until the critical item is available to be shipped.
- Items can even be selected from Third-Party catalogs and special ordered on a sales order.
- There is even a large selection of custom fields you can use on the line items to store information that might be unique to your business.
- The support for multiple methods of pricing in Everest is staggering. Customer level pricing, including quantity breaks is supported. Promotions run by date, time, and even coupon codes are available. Even sales like "Buy one get one 1/2 off" is supported.
- Items stored in matrixes (such as size/color matrixes for clothing) can be displayed in a chart for item selection into an order.
- When a kit is entered on an order, all of its component items are brought in as well. You can choose to show or hide the kit component items. Kit components can even be changed on an order. Kit pricing is very flexible.
- Down payments or even full payments can be accepted during order entry. Even credit card payments are automated and handled properly for accounting.
- Commission tracking is built into Everest. Different items can have different commission settings and commissions can even be paid only after the invoice is paid.
- There is even a multi-media tab on the order allowing you to store and retrieve files such as images, spreadsheets, or other documents in the order. You could scan the customer's PO and attach it to the order. This is another excellent example of the way Everest integrates your information and makes it available to everyone that needs it - all in one place.
Valuable Features In Everest Sales Order
- Everest allows any number of document aliases. A sales order could be referred to as a "Repair Order", "Web Order", or a "Fax Order". You can create as many aliases as you need. Imagine how this could help segregate the orders in your business and provide instant feedback about the type of order being referred to.
- Purchase orders can be generated and linked to sales orders. This provides the functionality needed to handle special orders as well as drop shipments. Automation is even built into purchase order merchandise receiving to commit the appropriate items to sales orders and drive shipping.
- Blind Shipping is also supported. If you are shipping to your customer's customer (you are the drop ship source), you can generate shipping documents with your customer's logo instead of your own. Now that's customer service!
- Tasks can be entered in the sales order at both the transaction and customer level. With a few mouse-clicks, you can assign a task to your purchasing agent (or any other user) to be sure they are aware of any special handling instructions for the order. These tasks show up on their Everest desktop and even contain a link that opens the order directly from the task. Imagine the power of this simple idea. You can do away with "yellow stickies" and notify the appropriate personnel of required actions. The tasks can even have due dates and reminders that pop up on their screens.
- A freight estimator is built into Everest. Tables of freight charges can be entered or imported into Everest for various carriers and services. The weight of the order is totaled and used to help estimate the freight charges. Note that Starship integration is available to produce shipping labels and generate actual shipping charges and tracking records.
- Document Tracking is one of the most important and sometimes overlooked features of Everest. You can specify a list of status types, and for each list, specify a list of statuses. For example, one status type might be "Repair Status". Inside "Repair Status", you might have statuses of "Awaiting Repair Item", "Disassembly/Diagnosis", "Awaiting Customer Approval", "Awaiting Parts", "Assembling/Testing", "Awaiting Shipping", and "Shipped". You can have any number of lists like this and each list can have any number of statuses. You can even mark some lists as mandatory. Inside the order, you can mark the current status by simply clicking a checkmark. Extended notes can be entered as well. This status and these notes are now available to everyone that needs the information, from your order entry operators, to purchasing, service, shipping, and even your customer. Your customer can log into the Everest web site and view the order status information on-line. Imaging how many calls could be eliminated each day!
Item Matrix Support
Everest allows items to be stored in matrixes with up to 5 different attributes. During sales and purchase order entry, items can be selected from a grid displaying the matrix as shown above.
The most obvious use for this feature is in clothing where size/color matrixes are very common. Consider its uses in other areas where various attributes make up an item, such as inlet diameter, voltage, mounting, etc.
From this form, a simple click on "Stock Status" will return a listing of detailed stock information about all of the items in a matrix.
