Business Automation Software
Business automation software is like having an additional employee; a detail orientated assistant who takes care of all your tedious yet vital tasks 24 hours a day, 7 days a week. In these challenging times, an organization has to get the most out of a limited number of resources. Having a system that works for you can free many hands to attend to responsibilities that require more of a human touch.
Some examples of business automation software created by DimeSoft are:
Past Due Notifications
A hardware distributor´s accounts receivable person was frustrated at the number of hours she spent on past due accounts.
DimeSofts development team created a routine where once a week at 2am, all past due accounts receivable invoices are converted to PDF files and automatically emailed to the appropriate customer. A report listing those invoices is emailed to the accounts receivable person who then follows up on those sent invoices. This automated task saves our customer several man hours per week and a past due invoice NEVER falls through the cracks.
Appointment Reminders
A dentist office had a staff member in the front office manually place a reminder call to all of their patients the day before a scheduled appointment. These tasks took the better part of every afternoon.
DimeSoft created a routine where the day prior to an appointment the patient received an email reminder, followed by a text message reminder the morning of the appointment. These automated routines increased the dentist´s attendance, removed room for human error and saved the office over 12 man hours per week.
Sales Force Automation
Just like most organizations, responding to sales opportunities efficiently is essential to the success of any organization. An electronics wholesaler came to DimeSoft to improve their ability to follow up on new leads quickly.
DimeSoft created a series of automations that are triggered when emails are received by their sales email address. The system automatically scans the emails for key words which then assigns the lead to a relative campaign. Once delegated to a campaign, a “personal” email is sent immediately to the lead. 90 minutes later a follow up email is sent. In the meantime, a follow up call was placed on the calendar of the sales rep assigned to the account. Ultimately, if the call isn´t placed by the sales rep within 30 minutes of the scheduled time an alert is sent to the sales manager who takes appropriate action to make sure the call is made.
This series of automated events increased gross sales for this customer by over 500% in less than a year with half the sales force.
